Release Note October 2019

Offline export of the Symbio Process House

Users in the Admin role can export the approved content. This can then be used offline on a PC. You can use the export, for example, for long-term archiving or for forwarding to external certification authorities. All data is queried by a Symbio service and combined into one file.

A browser application works with the locally exported files. The admin unpacks a zip file with all json and svg files and stores them in a shared folder.

The browser application has a new user interface with tree structure, list view, detail content and graphic display. Graphics are displayed in detail without zooming. Links in Detail Content can be customized by replacement expressions during export.

Note: Currently the export does not export PDF files or other attachments.

Visio-Importer

It is planned that vsdx files created with Microsoft Visio can be imported into Symbio as sub processes by the end of September. You can upload your Visio files via drag and drop. There is no signing in required but just your email address. After selecting the files you can map your used objects and start the import. The beta version of the Visio Importer is free of charge. We will keep you informed about the exact go live via our website.

Show global objects in the process graphic

In the graphic views, you can display a view that displays the global objects in addition to the process (whether main or sub-process). This gives you both the process flow and the global objects at a glance. This can be used for a printout, for example.

You can configure the object types that you want to display in the global objects view in the admin area. You can display the process flow in the usual settings (horizontal, vertical, detailed, swimlane).

Acceleration Of Graphical Modeling

When repository objects are changed, no automatic graphical update of the entire process is triggered in the future. This results in significantly better performance, especially for extensive processes.

Another advantage for you is that the addition and maintenance of Repository objects is accelerated, since detailed process modeling is no longer interrupted by automatic updates of the graphic.

For you, this means that in future you can determine the time of the graphical update yourself if Repository objects have been changed.

You can start the update at any time by clicking the refresh button. However, the change does not apply to the addition and deletion of objects or to the modeling of processes, since these changes have consequences for the structure of the process.

In these cases, Symbio will continue to update automatically. The changes between two updates are automatically cached as before. This feature will be automatically enabled in all future versions and cannot be disabled manually.

If you have any further questions, please contact your P+Z contact person directly.

Favorite management: Grouping Favorites

After creating favorites, it is now also possible to group them. This function is available to users from the Viewer role onwards. The creator of a group can edit it. A favorite can be assigned to several groups. The favorites can also be moved or copied. Within the group, you can sort favorites according to your own wishes; the order of the groups themselves can also be sorted.

Permissions for the user role architect

This feature makes it possible to dynamically distribute the role of the architect to different users for individual areas. For example, authors can now be authorized to create, update, send for approval or even delete main processes in their area of responsibility.

These authorizations are no longer collected but can also be used individually. This feature is thus the next step towards a new flexibilization of user roles.

Skills

With the new object “Skills” you can manage company-specific skills. You just create a neutral qualification list and provide the competencies required for your company.

These can then be linked to positions and roles. Skills Management provides an overview of the competencies of the employees and can be used, for example, for staff planning or for assembling project teams.

Optimization

  • Data elements like entities and data attributes can be linked to inputs and outputs by connecting the elements.
  • If the contained system components are assigned to the higher-level IT system, no more error messages are shown.
  • Classification of documents: The new attribute group “Classification” exists for elements of the type “Document”. The selectable values are “Internal”, “Confidential” and “Strictly confidential”. If no value is selected there, the document is considered “Public”.
  • In processes there is the possibility to choose between RACI and RASCI for roles and groups. “Supported” is therefore no longer needed for RACI. This happens as soon as you activate this feature. In this way you can prevent editors from maintaining the “Supported” role if this is not required in the company.
  • When creating events the “Event Type” can be selected. You have the choice between message, timer, signal etc. This creates small icons in the object of the graphic. Consequently you can recognize the event type at a glance.
  • New functionalities are available for creating and editing documents. Users can upload images and insert them into the widget. In addition, widgets can be deleted or moved in the template. The user interface and the generation of the manual have been improved.
  • Like the Task Repository, users can display SAP Best Practices if a SolMan interface exists. The practices can be related, but not edited.
  • ArchiMate conversions: The existing Symbio system structure can be converted to ArchiMate by activating the feature. The ArchiMate 3.0 methodology offers a standard modeling language to design the construction and operation of business processes, organizational structures, information flows, IT systems and technical infrastructure. This feature allows to depict the IT landscape by the ArchiMate 3.0 nomenclature and thus takes an important step towards the design and control of a comprehensive Enterprise Architecture (EAM).
  • Copy and move shapes: Activating this feature enables the author to copy or move process flow objects. Selected objects can be copied or moved either within a process or to another existing process of the process house.
  • Optimization of responsibilities of organizational units: Only users with architect rights can be entered as responsible for organizational units. Previously maintained responsibles who are architects are copied to the new attribute “Leader” during an upgrade from earlier versions like 1812. Maintained responsibles who are not architects are moved to the new attribute “Leader” during upgrade. The displayed user name in the graphic now corresponds to the new attribute “Leader”. All active viewers can be entered as leaders.
