Task

 

   Describes multiple activities/tasks performed by employees.


   Each task converts input (received items) into output (results).


   Process steps are linked to details such as risks, IT systems, KPIs, etc.


  Example: Enter received goods into the books, create customer order.


  Usage: Important object that lets workshop participants describe the tasks they perform as part of the process.

Event

 

   An event defines a condition, e.g. the condition that starts the process.


   This symbol is used for start, end, and intermediate events.


  Example: Order has been received (start); customer data incomplete (intermediate); receipt of order has been processed (end).


  Usage: Used to demarcate processes (start and end) during the workshop. Used as condition

   Inputs are the prerequisites for each task or process step; outputs (results) are generated from inputs.


   Inputs include objects, information, and data.


  Example: Examples include: Invoices, market data, raw materials, products, etc.


   Usage: The workshop uses input/output to demarcate the starting point/end point of a process. Used in Input/Output Frame, SIPOC, etc.

Role

 

   Describes a technical task profile.


   ach role has various collaboration duties in a task.


   Roles can be connected in organisations. One position in the organisation can assume multiple roles.


  Example: Controller, Product Owner, Quality Manager.


  Usage: During the workshop, a role can be used for example as swimlane in a sub process. This shows the responsibility transition points.

   Describes the organisation unit at different levels, for example division, department, team


   Typical organisation units include customer service, sales, product management.


   Usage: The workshop uses organisation units to reflect the structure of the organisation and allocate rensposibilities.

   Used for IT applications, IT systems, or machines that support tasks or automate them where possible.


   Can also be used to build IT architectures.

   Used for new ideas, requirements, potentials, features, etc.


   The detailed description of the potential is important.


   Example: Paying a restaurant bill by using an app that scans the QR code on the bill.

Control

 

   Comparison between planned and actual values as well as analysis of causes of discrepancies.


   Controls are used for example in risk management in order to reduce the incidence of risks or to recognise risks early.


   Example: Checks performed by second pair of eyes.


  Usage: In the workshop, a control can be used as a control task instead of a pure task.

Goal

 

   Used for defining enterprise goals or project goals. These goals can be used e.g. in a strategic map.


   The goals always form the basis for the goals defined by the participants during the workshop.


   Example: Market product successfully via new sales channels; establish mutual understanding in the team, etc.


  Usage: The workshop can use the goal as basis for the workshop goal, or for building an enterprise goal matrix.

Milestone

 

   The stages of a goal where results are checked and subsequent steps decided


   The milestone is where the results come together. A team then verifies compliance and based on that, the next steps


   Prefixed numbers are popular for milestones.


  Usage: Can be used in the workshop to demarcate project/process phases. Inputs define which results must/may have been achieved.

KPI

 

   KPIs (key performance indicators) measure the actual situation and compare it to a defined target value.


   KPIs are used for example to measure process performance. Such KPIs are sometimes called PPIs.


   Example: Average product development cycle time. On-time delivery.


  Usage: The workshop should define at least one KPI for each process. KPIs also form the basis for optimizing processes.

Job/Position

 

   The job/position is part of organisation management. Each employee fills at least 1 position in their organisation. Most frequently, this is a technical function.


   The job/position is frequently linked to the role. This creates a bridge between the roles and the job/position.


   Example: Project controller, strategic purchaser.


  Usage: In the workshop, you can use Job/Position in Organizational Management. You can also connect any number of roles with job/position.

Risk

 

   A risk is an event with a negative effect (danger) and in rare cases also with a positive effect (opportunity).


   Risks need to be analysed and defined in order to minimise their negative effects. Risk management develops measures and then performs checks to ensure compliance.


   Example: Financial risks, business risks, health risks, etc.


  Usage: In the workshop, a risk symbolises the need for extra caution.

Rule/Guideline

 

   Business rules and guidelines are specifications that need to be observed by the process. In particular, compliance with the law and other regulations is mandatory.


   Example: Basel III, national laws, terms of delivery, company policies


   Usage: In the workshop, the applicable specifications are included in the process. The rule/guideline symbols can also be used in reference to other symbols such as requirements or risks.

   The solution describes the implementation and defines the systems that will be used.

   Training units or knowledge objects are information objects that help people perform their processes/tasks more easily.


   Typically, knowledge objects are linked to the process or task.


   Example: Manuals, films, eLearning items, etc.
